How to filter or hide workflow access to agents

In Agent Portal, you may want to limit certain agents access to certain workflows. There are two ways to do this:

Hiding the workflow

  1. Select the workflow, and go to the Settings tool.
  2. Click the Security tab.
  3. Select Hide from Agent Portal View, Task Manager and workflow Search Results. Note that workflows in Draft status are always hidden from these locations. See this publishing documentation for more information on statuses.

     
  4. Click Apply Settings.

 

Using Tag Matching to Restrict Access

You can use tags from your workflow's Settings to allow or restrict access to groups of agents in Agent Portal.  When a workflow's tag matches an agent's tag, that agent can access that workflow.

When Agents have been tagged, they will not see any workflows in the Agent Portal unless those workflows match their tag.

Here's how to use tags to restrict agent access:

  1. Add tags to your workflow from the workflow's Settings > Tags.
  2. Click Team > Agents.
  3. Click the Edit button next to the agent you wish to change access.

     
  4. Add tags for the listed agent to allow them access to specific workflows that match the same tag as your workflow's tags.

     
  5. Click Save Agent Info to save the new tag settings.

Update the tags for multiple Agents at once

To assign or update tags for multiple Agents at once, select the Agents by enabling the checkboxes next to their names in TeamAgents, then click the Actions menu to modify or assign workflow tags.

 

Please Note:

  • Any workflows accessed via workflow Nodes will still be accessible from the initial workflow.
